Automating Content Production with Email-Driven Logic

The email-triggered generation process is an innovative and efficient way to automate content creation and distribution. Automatically Generated Site-Specific Documentation from a Simple Email

The Challenge

Dahl wanted a streamlined way to automate the generation of site-specific product folders (talokansiot). These documents are based on a delivery list that previously required manual compilation—gathering all product pages and attachments individually.

The Solution

Mediasignal developed a process where a Dahl employee sends a generation request via email with the site-specific delivery list attached. This triggers an automated process that compiles a complete PDF folder, which is returned to the sender via email.

Each generated document includes:

  • Up-to-date product pages with specifications, dimensions, and environmental data

  • Relevant attachments for each product

  • A cover page and table of contents automatically created from the included materials

All product data is pulled from Dahl’s PIM system and formatted using Dahl’s branded layout. This ensures the documentation is always current and aligned with internal design standards.

“Generating folders via email drastically reduces the time our sales team spends gathering product information and attachments. The automation handles it in minutes—and previously, especially attachments were a tedious part of the process.”

The process is based on predefined rules and templates, improving accuracy and reliability. Because email is a familiar and easy-to-use tool, no special technical skills are needed—just send an email and the system does the rest.

“The generation process has saved us a great deal of time and effort. Product data and links to the correct attachments are pulled in instantly by product number. The rollout has been quite successful, and many users now rely on it as a key tool for preparing site delivery documentation,” Kuusipalo adds.

The Result

The outcome is an efficient, scalable process that automatically generates tailored product folders in response to a simple email request. The feedback has been overwhelmingly positive. Sales reps especially praise the speed—the final document is returned in just a few minutes. Both internal users and customers have been impressed by the modern, professional layout of the generated folders.
